Getting Started
Register as a Healthcare Provider
Request provider access through your HealthHaven contact or sign-up flow, then select the healthcare provider role when available. Pilot access is approved for specific care-team users before referral tools are enabled.
Verification Process
HealthHaven reviews provider access during onboarding and may request NPI, license, facility, or department details. Verification is a pilot operations step, not an automated credentialing replacement.
Link Your Practice or Hospital
Associate your account with one or more healthcare facilities from your provider dashboard. If your institution is already registered on HealthHaven.ai, you can request to join the existing organization. Otherwise, you can add a new facility and invite colleagues to join your team.
Patient Referrals
Submit a Patient Referral
From your dashboard, select "New Referral" to begin. Confirm the patient has consented to share lodging-relevant needs, then enter contact information, care-window dates, accessibility needs, caregiver expectations, and transportation notes. Avoid diagnoses, full care plans, or details that are not needed to compare recovery-friendly lodging.
Referral Workflow
Each referral moves through defined stages: Submitted, Options Sent, Booked, Closed, or Cancelled. The patient receives lodging options outside the clinical record, and your team can update lodging notes or cancel the referral when care logistics change.
Track Referral Status
Monitor active and past referrals from the Referrals tab. Filter by status, date range, or patient name, then export referral history for internal coordination records when available.
Integration & API
Pilot API Boundary
The pilot workflow starts with the provider portal and authenticated referral API. Full EHR or FHIR integration is not part of the MVP and requires a separate security, BAA, data-mapping, and implementation review before any clinical-system connection is enabled.
API Documentation
Provider API endpoints support creating consented lodging referrals, listing referrals visible to the authenticated provider, retrieving a referral by ID, and updating workflow status. Request and response schemas are available through the application's OpenAPI document at /api/openapi.json.
Privacy-First Safeguards
Provider workflows are designed around minimum-necessary lodging coordination, authenticated access, tenant isolation, consent capture, and BAA review where a covered entity partnership requires HealthHaven to create, receive, maintain, or transmit protected health information on its behalf.
Care Coordination
Share Care Plans with Lodging Providers
Share only lodging-relevant preparation details, such as mobility equipment, quiet-room needs, caregiver presence, dietary constraints, or medication storage needs. Full discharge summaries and clinical care plans should stay in your clinical systems.
Post-Discharge Communication
Use the secure messaging channel within each referral to communicate directly with the lodging provider and patient. Discuss check-in details, follow-up appointment schedules, or any changes to the care plan. Messages are logged with access controls and privacy safeguards.
Transport Arrangements
Capture transportation needs on the referral so the patient, caregiver, and lodging team can compare shuttle, ride-share, or non-emergency medical transport options. The MVP tracks transport notes but does not dispatch medical transport directly.
Reporting & Analytics
Referral Operations Tracking
Review operational referral data such as referral volume, options sent, booked stays, cancelled referrals, and patient-reported lodging feedback. The MVP does not report clinical outcomes or readmission comparisons.
Referral Volume Reports
Generate monthly and quarterly reports showing referral volume by department, provider, and lodging type. Identify trends in patient lodging needs and peak referral periods. Reports can be exported as PDF or CSV for inclusion in quality improvement reviews.
Partner Satisfaction Metrics
Review feedback from lodging providers and patients to gauge the effectiveness of your referral program. Satisfaction scores are aggregated at the facility level, giving you a clear picture of which lodging partners best serve your patient population. Use this data to strengthen top-performing partnerships.
